How to prepare a correct billing note
1.Fill in biller and customer details
State the shop or seller, address, contact, and the customer or company being billed, plus the procurement or accounts contact, so the billing note reaches the person who approves payment and reduces delays.
2.List the invoices being bundled
List the number and date of each invoice or delivery note bundled in this cycle, with each amount. Referencing the source document numbers lets the customer verify which items make up the billed total.
3.Total the amount and state the due date
Let the Excel formula total all documents into one billed amount, then state the due date per the agreed credit cycle (e.g. 30 or 60 days). A billing note is not a tax document, so the due date is a commercial agreement, not a Revenue Department deadline.
4.Finish with the billing note number and receipt slot
Add the billing note number and date, plus a slot for the customer to acknowledge receipt. Many Thai businesses have set "billing days" and "cheque-collection days," so an acknowledgement slot confirms the customer received it and entered the payment cycle.
What is the difference between a billing note and an invoice?
An invoice is typically issued per sale, while a billing note bundles several invoices or delivery notes over a period into one collected amount — useful for frequent buyers on a credit cycle. Both are commercial, not tax, documents.
Does a billing note have a statutory payment deadline?
No. The payment deadline on a billing note is a commercial agreement between seller and customer, such as 30 or 60 days — not a Revenue Department deadline, unlike PP30 which has a statutory due date.
Must a tax invoice be issued together with the billing note?
No. VAT-registered sellers typically issue the tax invoice once payment against the billing note is received, not when the billing note is issued. Confirm the tax invoice timing follows the law.
Should a billing note be in Thai or English?
It depends on the customer. Thai trade partners usually use Thai; foreign customers or bilingual companies may use Thai-English. This template is in Thai, suited to billing domestic corporate clients.
