How to write a complete invoice

  1. 1.Fill in seller and buyer details

    State the shop or seller, address, contact, and the customer receiving the invoice, so the customer knows who is billing and to whom. For a juristic entity, include the tax ID.

  2. 2.List items or services and amounts

    List each item with quantity and unit price, letting the Excel formula total each line and the grand total. State clearly whether VAT is included. An invoice is not a tax document, but the amounts should be clear to avoid confusion.

  3. 3.State terms and due date

    Spell out payment terms such as within 15 or 30 days, plus the payment channel and account number. Stating a due date makes it easier to track outstanding balances and reduces late payment.

  4. 4.Add document number and date

    Finish with a unique invoice number and issue date, to reference when the customer pays and when the receipt or tax invoice follows. Systematic numbering makes filing and traceability easy.

What is the difference between an invoice and a billing note?

An invoice is typically issued per sale or for smaller amounts, while a billing note bundles several items or delivery notes over a period into one collected amount — useful for frequent buyers on a credit cycle. Both request payment and are not tax documents.

Does an invoice need to separate VAT?

An invoice is not a tax document, so separating VAT is not mandatory. Sellers often show a VAT-inclusive total and issue the actual tax invoice on payment. If you are VAT-registered, state clearly whether the price includes tax.
