How to write an English quotation

  1. 1.Fill in seller and client details in English

    State the company or seller name, address, and contact in English, plus the client and contact person. For international work, clearly include the country and the quoted currency (e.g. THB or USD) to avoid currency confusion.

  2. 2.List items and prices in English

    Use English column headers such as Description, Quantity, Unit Price, and Amount, then list items or services with prices. State clearly whether the price includes or excludes VAT, and for export work include delivery terms (e.g. incoterms) if needed.

  3. 3.State terms, validity, and document number

    State the payment terms, price validity, quotation number, and date in English so a foreign client can reference them clearly. Then send the PDF to preserve the layout, or the Excel if you want the client to adjust items.

When should I use an English quotation?

Use it when quoting foreign clients, multinationals that use English documents, or export work. English helps both sides understand items and terms and reduces translation errors. For general Thai customers, the Thai quotation is more suitable.

Does an English quotation need to include VAT?

It depends on whether you are VAT-registered and whether the work falls within Thai VAT scope. If VAT-registered and selling domestically, show 7% VAT separately. Some exports may use a 0% VAT rate — confirm with the Revenue Department (rd.go.th) or an accountant first, then state it accordingly in the quotation.

Can I use one template for both Thai and English?

Yes. The Thai and English quotation structures are the same, differing only in labels and wording. Download both the Thai and English templates and use each per client, or make a bilingual document in one file if the client wants both languages.
